1. Who we are

The controller of your personal data is Dent America Distribution S.R.L., with its registered office at Str. Alexandru Constantinescu 12 Et. P Cod 011473, registered with the Trade Register under no. J1999010371408, VAT no. 12440846, acting as the organizer of the BTI Days event (the "Event").

2. What data we collect

Through the registration form on www.btidays.ro we collect: first and last name, email address, phone number, medical specialty, clinic/practice, city, ticket category. No payments are processed through the website, and we do not collect any payment data online.

3. Purposes and legal bases of processing

a) Organizing your participation in the Event

Processing your registration and communications related to it, sent by email or by phone, such as registration confirmation, logistical details, program changes, or any other information necessary for your participation in the Event. Legal basis: performance of a contract (Art. 6(1)(b) GDPR). Where fiscal documents are issued in connection with your participation, the related data is processed to comply with legal obligations (Art. 6(1)(c)).

b) Marketing communications

Information about future events, products, and services of Dent America Distribution, sent by email or phone. Legal basis: your consent (Art. 6(1)(a)), given by ticking the dedicated checkbox in the form. Consent may be withdrawn at any time, without affecting your participation in the Event.

c) Personalized advertising (retargeting)

Using your contact details (email address, phone number) to build advertising audiences on third-party platforms (e.g. Google, Meta) in order to show you relevant ads about our events, products, and services. Legal basis: your consent (Art. 6(1)(a)), given through the marketing checkbox in the form.

d) Photography and video recording at the Event (BTI Days 2026)

During the Event, photographs and video recordings will be taken, which may capture participants. These materials may be used on our website, social media channels, and in promotional and marketing materials related to our events and activities. Legal basis: our legitimate interest in documenting and promoting the Event (Art. 6(1)(f) GDPR). Participants are informed of this through the present policy and through notices displayed at the Event venue. If you do not wish to appear in such materials, you may inform our staff at the Event or contact us at contact@dentamericadistribution.ro, and we will take reasonable steps to avoid featuring you or to remove published materials in which you are identifiable.

4. How long we keep your data

Registration data is retained for the duration of the Event organization and for a reasonable period afterwards; where fiscal documents are issued, the related data is retained in accordance with statutory archiving periods (up to 10 years for financial and accounting documents). Data processed for marketing purposes is retained until consent is withdrawn, and no longer than 3 years from your last interaction, after which it is deleted or anonymized.

5. Who we share your data with

Your data may be shared, strictly to the extent necessary, with: the website platform provider (Squarespace), email service providers, advertising platforms (Google, Meta for audience building, based on your consent), and public authorities where required by law. Some providers may process data outside the EU/EEA; in such cases, transfers are carried out under Standard Contractual Clauses approved by the European Commission or other safeguards provided by the GDPR. We do not sell your data to third parties.

6. Your rights

Under the GDPR, you have the right of access to your data, the right to rectification, the right to erasure, the right to restriction of processing, the right to data portability, the right to object (including to direct marketing, at any time and free of charge), and the right to withdraw your consent, without affecting the lawfulness of processing carried out before withdrawal.

To exercise these rights, write to us at contact@dentamericadistribution.ro. We will respond within 30 days at the latest. You also have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP) — www.dataprotection.ro.

7. Data security

We apply appropriate technical and organizational measures to protect your data against unauthorized access, loss, or disclosure, and access to data is limited to personnel who need it for the purposes described above.

8. Changes to this policy

We may update this policy; the current version will be permanently available on www.btidays.ro, together with the date of the last update.
